Documents Required for a Business Loan: Nine Cross-Checks Before the File Goes In

Applying for a business loan involves more than just gathering documentation. Lenders verify the applicant’s identity, assess the business’s financial position, and evaluate its repayment capacity. Additional questions and delays may result from missing information or contradictions between submitted documents.

Business owners should review the documents needed for a business loan and make sure the information is consistent across records before filing an application. The lender, the type of financing requested, and the business structure all influence the specific requirements. Here are nine essential checks to complete before submitting the documents required for a business loan application.

1. Check That Your KYC Documents Are Valid

The banks need KYC papers to authenticate the identity and address proof of the borrower. Some accepted forms of documents in India are the PAN card, Aadhaar card, passport, and voter ID card, depending on the requirements of the bank.

Verify that the names, birth dates, and addresses on the application and submitted KYC documents match. Verify whether fresh documentation is required if the applicant’s address has changed. Make sure the documents are readable and that no crucial information is missing from scanned copies.

The lender may also ask for KYC records for pertinent partners, directors, or authorised signatories of a business or partnership firm.

2. Verify Your Business Registration and Ownership Proof

Lenders verify that the business exists and the applicant is authorised to borrow on its behalf. Depending on the business structure, documents may include a Udyam Registration Certificate or GST registration certificate, where applicable, a partnership deed for partnerships, and a Certificate of Incorporation for companies. The documents required from the borrowers may vary, and other registration and ownership documents can also be asked for.

Check that the business name and legal structure match across your application and official records. If you use a trade name, provide supporting documents linking it to the legal name. Sole proprietors, partnerships, and companies may need different documents, so confirm the lender’s requirements before applying.

3. Reconcile Your Financial Statements

Financial statements provide more insight into income, expenditure, profits, liabilities, and the general financial position of a business to the lender. They can also assist lenders to determine if a business can afford to service the debt proposed.

Examine your profit and loss statement and balance sheet for the specified fiscal years. Verify that the statements are prepared or verified in the necessary format, that the totals are accurate, and that the statistics are consistent. Compare these numbers with your accounting records and income tax returns, if applicable. Rather than being ignored, differences should be identified and explained.

However, depending on the lending institution and type of loan, professional certification of financial statements is required.

4. Examine Your Income Tax Returns

Lenders often require income tax returns to determine the accuracy of declared income and also to evaluate the financial stability of the organisation/individuals applying for a loan. They might request the business’s returns, the owner’s returns, or other pertinent tax documents, depending on the application.

Verify that the returns cover the necessary fiscal years and that, upon request, acknowledgement receipts and supporting schedules are provided. Compare your financial statements with the reported income and turnover.

Keep the pertinent documents on hand to explain any recent structural changes or unusual fluctuations in your business’s revenue.

5. Check Your Bank Statements for the Required Period

Bank statements indicate the flow of funds within the business.  When evaluating repayment capacity, lenders may look at credits, recurring expenses, loan repayments, cheque returns, and account balances.

Let the statement run for as long as the lending institution stipulates. In some cases, the lending institution will need a statement from the last six to twelve months, depending on the kind of product and method of evaluation used.

Verify that all pages of the statements are included and that they belong to the right account holder. Examine significant transactions and make sure you can respond to questions about unusual credits or large withdrawals. Verify whether statements from each account are necessary if the business uses numerous accounts.

6. Match the Loan Amount to Your Business Needs

The amount you plan to borrow and the way the funds will be used should be supported by documentation. For instance, while equipment finance might fund a particular purchase, working capital might pay for inventory or running costs.

Provide a summary of the planned use of the borrowed money, the expected business benefits from the loan, and the repayment plan. Maintain quotes, invoices, purchase estimates, cost estimates for projects, and projections of cash flow as needed by the lender.

The above explanation will help you illustrate how the required amount of the loan fits into your funding requirements. The explanation will also help you evaluate whether the suggested repayments are manageable.

7. Verify Your Collateral Documents for a Secured Business Loan

For a business loan that is secured, the financial institution determines the value of the asset being provided as security for the loan. Ownership records, property documentation, and other documents needed for legal or valuation checks may be required, depending on the type of loan and security offered.

Verify that the ownership information matches the information given and that the property paperwork clearly indicates who owns the asset. Look out for existing charges, joint ownership of property, and any other things that might have an impact on the bank’s evaluation. Keep any extra paperwork the lender requests on hand.

8. Check Whether Industry-Specific Licences and Permits Are Required

Depending on your industry and the lender’s requirements, you might need to present a shop and establishment certificate, trade licence, or an industry-specific authorisation, such as an FSSAI license for a food business. Identify the licences and permits applicable to your business, and ensure that they are valid and up to date before submitting your application.

 9. Confirm the Lender’s Final Checklist Before Submission

No single list of documents applies to all business loans. Depending on the loan size, lender, ownership structure, business vintage, and whether collateral is included, different requirements may apply. Compare your file with the most recent checklist provided by the lender before submitting.

All documents should have digital copies arranged with distinct file names, and the originals should be kept for any necessary verification. Review the complete file against the lender’s latest checklist to confirm that all documents required for a business loan are included, and nothing is missing.

Conclusion

Spend some time reviewing your documentation and addressing any discrepancies before submitting an application for a business loan. Financial statements, KYC records, tax returns, bank statements, and relevant ownership documents help lenders assess your business’s financial position and repayment capacity.

If you are applying for a secured business loan, pay particular attention to the ownership records and legal or valuation requirements associated with the asset offered as collateral. To make the application process go more smoothly, carefully review the lender’s requirements and keep the required documents readily available.
